Practice Manager

Position Location: Lake Charles, LA

JOB TITLE:  Practice Manager

GENERAL SUMMARY OF DUTIES:  Responsible for managing the daily operations – both administrative and clinical -- at Practice locations as assigned.  Ensures development of standardized departmental wide systems aimed at maximizing operational efficiencies:  clinical quality and efficiency, patient satisfaction, clinical and practice management effectiveness, regulatory compliance, and revenue cycle optimization.

SUPERVISION REQUIRED:  Assigned Executive

SUPERVISION EXERCISED:  All administrative and clinic staff within the practice(s).  Mid-level providers shall report clinically to their supervising physician(s).  

ESSENTIAL FUNCTIONS:
1.    
Oversees daily office operations and delegates authority as appropriate.
2.     
Develops and implements short and long-term work plans in accordance with the IH strategic plan.
3.     
Working with the IH Chief Financial Officer, monitors variances in the operating and capital budgets.
4.     
Review and approves invoices according to policy.
5.     
Working with assigned executives, develops, implements, and monitors KPIs/scorecards.
6.     
Working with the Business Office Director, ensures optimization of the Front End Revenue Cycle. (POS collections)
7.     
Provides operational and financial reports at monthly physician(s) meetings.
8.     
Conducts agenda driven monthly meeting with staff members while outlining monthly objectives/expectations.  Provides weekly update to assigned executive and physician.
9.     
Exercises decision making authority in regards to hiring, orientation, development, and evaluation of employees while communicating performance expectations to staff. Ensures that departments are staffed appropriately.  Determines use of float pool personnel.
10. 
Responsible for conducting performance based evaluations during employees initial 3 month anniversary date and annual anniversary date (with physician input for clinical staff).
11. 
Responsible for ensuring staff job descriptions remain current.
12. 
Develops guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
13.  Working with the training department, creates a "handoff training template”. Ensures ongoing training as needed.
14. 
Oversees attendance and timekeeping of assigned employees. Approves and monitors overtime.
15. 
Establishes and maintains an efficient and responsive patient flow system.
16. 
Ensures clinical quality measures are met according to IH sponsored plans.
17. 
Ensures patient satisfaction.
18. 
Supports and upholds established policies, procedures, objectives, quality improvement, safety, environmental and infection control, and requirements of regulatory agencies.
19.  Delegates responsibility for managing GE/Centricity changes to include grid/schedule changes, pharmacy changes/additions, referring providers, etc.
20. 
Coordinates maintenance on all applicable equipment including maintenance service agreements/contracts for equipment and manages PMs for equipment at each location as assigned.  Recommends new or replacement equipment.
21.  Oversees and approves office supply inventory, ensures that mail is opened and processed daily, and offices are opened and closed according to protocol.
22. 
Completes special projects as assigned.

EDUCATION REQUIREMENTS:  High school diploma or equivalent.  Bachelor's degree in business or health care administration is preferred.

EXPERIENCE:  Minimum five years of administrative experience including three years of management experience in health care.

  •   Knowledge of medical practices, terminology, and reimbursement policies.

Requirements:
