OFFICE MANAGER- Center for Orthopaedics

Position Location: Lake Charles, LA

  GENERAL SUMMARY OF DUTIES:  Manages the daily operations of the Center for Orthopaedics Practice locations under the direction of the Practice Manager.  Ensures development of standardized departmental wide systems aimed at maximizing operational efficiencies:  clinical quality and efficiency, patient satisfaction, clinical and practice management effectiveness, regulatory compliance, and revenue cycle optimization. 




1.       Assists Practice Manager in developing/implementation oversight of appropriate front office policies to promote timely and efficient flow of patients through the clinics and facilitate communication back to referral network.

2.       Manages the front office staff and the revenue cycle process.

3.       Ensures the clinic policies and process improvements are implemented on a daily basis

4.       Maintains appropriate documentation manuals, office policies/procedures and ensures compliance with appropriate regulations.

5.       Uses independent judgment to provide effective day to day staff resource management, including appropriate office staff scheduling, shift coverage, and facilitating productivity goals.

6.       Exercises independent judgment to approve time off requests and employee timesheets to ensure accurate payroll.

7.       Communicates/collaborates with all staff, Practice Manager, and providers regarding site business needs, issues, information, etc.

8.       Responsible for staff evaluation, mentoring and disciplinary process under the guidance of Practice Manager.

9.       Conducts orientation and training for new office personnel.

10.    Makes recommendations and provides input to Practice Manager on achieving budget goals, meeting revenue cycle metrics, and variances.

11.    Serves as an organizational resource to lead or actively participate in projects and program initiatives.

12.    Serves as practice-wide super-user for all practice management software.

13.    Acts as a resource and models the delivery of excellence in customer service to customers and staff.

14.    Performs other duties as assigned.



 EDUCATION REQUIREMENTS:  High school diploma or equivalent.  Bachelor's degree in business or health care administration is preferred.


EXPERIENCE:  Minimum three years of administrative experience including one year of supervisory experience in health care.

ENVIRONMENTAL/WORKING CONDITIONS: Office setting.  Frequent telephone calls during entire time at work.  Frequent interruptions, which requires being able to handle a fast-paced work environment during entire time at work.


PHYSICAL/MENTAL DEMANDS:  Involves sitting approximately 90 percent of the day, walking or standing the remainder.
